Company Profile Design in Malaysia

A company profile is the document buyers read before they agree to anything. Here is what belongs inside, the three formats it comes in, what we need from you, and how it works on a monthly subscription.

In short

A company profile is a short document that tells a buyer who runs your business, what it sells, who it has delivered for, and how to reach a decision maker. Most are 8 to 16 pages. On a Design Outsourced subscription it is covered by the Basic plan at RM1,899 a month, with the first draft back in 24 working hours and unlimited revisions after that.

What a company profile has to do

A company profile is the document you send when someone asks who you are before they agree to anything. A procurement officer scanning five suppliers, a bank officer reviewing a facility, a distributor deciding whether to carry your product, a corporate client checking whether you can handle the job. Most of them give it two minutes.

That means a company profile is not a brochure and it is not a slide deck. It is a trust document. It has to answer, quickly, who runs this business, how long it has been going, what it sells, who it has delivered for, and how to reach someone who can make a decision.

What goes inside

The order matters more than the page count. A profile that opens with a long history section loses the reader before it reaches the capability list.

  • Cover. Company name, one line on what you do, year established, and the registration number.
  • At a glance. A single page: what you sell, who you serve, where you operate, how big the team is.
  • Background. Short. Two paragraphs, not two pages.
  • Products or services. One block per line of business, with the specifics a buyer compares on.
  • Capability and capacity. Equipment, certifications, licences, production volume, service coverage.
  • Track record. Named clients or named projects, with permission. Unnamed logos convince nobody.
  • Team. The people a client will actually deal with.
  • Registration and compliance. SSM details, MOF or CIDB registration, ISO certification, insurance cover.
  • Contact. A named person, a direct line, and an email on your own domain.

Three formats, three different jobs

Format Used for Typical length What changes
Print and PDF Tender submissions, bank and supplier applications 8 to 16 pages Fixed layout, print-ready bleed, file size kept small enough to email
Digital, screen first Email attachments and WhatsApp 6 to 12 pages Landscape, larger type, clickable contact details and links
Pitch version Presenting in the room 10 to 20 slides One idea per slide, editable in PowerPoint or Canva so your team can update it

Most businesses need the first two. If you are tendering, ask the issuing body what they will accept before the layout is locked, because some still require a specific page size and a hard copy.

How long it takes

On a Design Outsourced subscription the first draft of a profile section comes back within 24 working hours of a complete brief. A full profile usually runs over several requests across one to two weeks, because the slow part is almost never the design. It is waiting for your own content: the client list you need permission to publish, the certification scans, the team photos, the final figures.

Businesses that have those ready finish in days. Businesses that do not take a month, no matter who designs it.

What we need from you

  • Company registration details and any certifications you want shown
  • A list of services or products, with the detail a buyer compares on
  • Client names or project names you have permission to publish
  • Team photos, or a decision not to include them
  • Your logo in vector format if you have it. If you do not, we redraw it
  • Any profile you have used before, even an old one. It saves a round of questions

What it costs

Company profile design is included in the Basic plan at RM1,899 a month, together with social media graphics, packaging and merchandise, landing pages and web content. There is no separate project fee and no per-page charge, so a profile that needs four rounds of changes costs the same as one that needs none.

This matters more than it sounds. Quoted per project, a profile is usually priced on an assumed number of revisions, and the revisions you actually need arrive after your director has seen it. On a subscription that conversation has no price attached.

Freelancer, agency or subscription

Subscription Freelancer Agency
Cost for one profile Part of RM1,899 a month Usually lowest Usually highest
Revisions Unlimited Often capped Usually capped by scope
Updating it next year Another request Depends if they are still available New quote
Other work while it runs Same subscription Separate engagement Separate scope
Best when You need design regularly, not once You need one job done cheaply You need strategy as well as design

A freelancer is genuinely the right answer if you need one profile, once, and nothing else for the next year. The subscription earns its keep when the profile is one of many things you need designed.

Four mistakes we see most often

Writing it like an essay. Long paragraphs of company history. Nobody reads them. Cut the background to two paragraphs and give the space to capability.

Logos without permission. Putting client marks on a profile without written approval is a real risk, and buyers increasingly check.

No named contact. A general info address at the end of a profile tells a buyer there is nobody accountable.

Letting it go stale. A profile with last year’s figures and a team member who has left does more damage than no profile. Update it once a year, on the same file.

Other words people use for this

You may know this as a company profile, a corporate profile, a business profile, a capability statement, or in Malay, profil syarikat. Tender documents sometimes call it a company background document or a corporate dossier. They describe the same thing.

Common questions

How many pages should a company profile be?

Most land between 8 and 16 pages. Tender submissions tend to run longer because of the compliance section, and screen-first versions tend to run shorter.

How long does a company profile take?

The first draft of a section comes back within 24 working hours of a complete brief. A full profile usually takes one to two weeks, and the delay is almost always waiting on your content rather than the design.

Do I get the editable file?

Yes. You receive print-ready PDF plus the editable source file, in Canva, InDesign, PowerPoint or Illustrator depending on what you will use to update it.

Can you write the content as well?

We write and edit the copy around the facts you give us. We cannot invent figures, certifications or client names, so those have to come from you.

Can you work from our old profile?

Yes, and it helps. Send whatever exists, even an outdated Word file, and it saves a round of questions.

Do you design in Malay as well as English?

Yes. Bilingual profiles are common for government and GLC submissions, and we can lay out both languages in one document or as two versions.

Is it really unlimited revisions?

Yes. The practical limit is that revisions on one request hold up the rest of your queue, so a clear brief gets you faster turnarounds.

What if I only need a profile and nothing else?

Then a one-off freelancer is probably cheaper and we will say so. The subscription makes sense when design is a recurring need rather than a single job.
